Today we would like to present a project at the EQS Group AGa leading international cloud provider in the areas of corporate compliance, investor relations and sustainability reporting (ESG Tech), based in Munich.
The scope
The company, which provides innovative services for listed companies with around 500 users, decided to replace the EasyProject add-on and implement centralized time recording for all projects in all clients.
The objective
The aim was to improve the efficiency and accuracy of project management and reduce the workload for employees.
The implementation
The implementation involved creating master data for resources, resource groups, dimensions and other required information in a central client. This data was automatically distributed to all target clients via the Multi Entity Management (MEM) add-on. Projects and project tasks with the information required for time recording were also created in the central client. This meant that the projects could be automatically transferred to the target clients and enriched there.
To facilitate intercompany project allocation, the resource group price table has been expanded to include various allocation rates. A logic for intercompany project allocation has been implemented and pricing has been adjusted to determine the correct IC transfer price (e.g. resource A from client A contributes to a project from client B).
Central project time recording in a client has been introduced so that employees no longer have to record time separately in each client. The timesheet lines are now automatically transferred to the respective target project client, where they can be imported and posted to a project ledger sheet using a customized function so that the items can be created and evaluated in the target client. The project and task views have been adjusted to display the correct totals (open/entered/approved/posted) of the global timesheets.
Project managers now receive an extended working time approval at line level, which simplifies the approval process. Additional routines have been implemented to transfer complete projects including items to another client. Among other things, rapid start templates have been made available to quickly import resource group prices into the respective clients via Excel.
In order to optimally support the different areas of responsibility and roles of the employees, the interface of the web client (role center, menu bars) was adapted to the requirements and authorizations of the different user groups (project managers, approvers or project employees).
The benefit for the customer
The implementation of a central time recording system and the replacement of the EasyProject add-on will significantly improve the efficiency and accuracy of project management at EQS Group AG. Employees will be relieved and administration will become more efficient thanks to the automation of processes.
