Long awaited and now finally here: the new workflow engine in NAV 2016. The new workflow functionality offers predefined processes, such as text recognition of documents (OCR) and automatic conversion into electronic documents.
One application scenario is the pre-entry of the incoming invoice. The incoming invoice can then also be released using the new workflow functionality. The release functionality is not only available on the inbound side for vendors in the standard system, but also on the outbound side for the release of sales invoices in the accounts receivable area. The document approval in the previous versions has now been replaced by the new, highly flexible workflow functionality.
Workflows can consist of several modules. These are
- Events, the so-called events
- Notifications
- Conditions
- Combination of workflows (chain of workflows)
Events: They serve as triggers to start a workflow, for example the creation of a sales invoice. These events can be "subscribed to" so that they can be reacted to automatically when they occur. By introducing events, it is possible to separate customer customizations from the standard functionality. This significantly reduces the effort required for future updates.
Notifications: Users can be alerted to events or pending actions either by email or through the integrated notification system.
Conditions: Conditions are defined for controlling the workflows, for example the release of an order from a defined euro amount by the supervisor.
Combinations of workflows: Several workflows can also be combined. These are then linked in a chain, for example in the incoming invoice use case.
If the workflows supplied as standard are not sufficient, it is possible to tailor them to your needs. A frequent requirement of our customers is the realization of mandatory fields in the article master. At our customers, the article master is often processed by different departments, such as purchasing, financial accounting and the warehouse. We have implemented this requirement for our customers with the new workflow module in NAV 2016.
