The administration of users and teams is an essential part of using Dynamics 365 or NAV. This area is part of the customer engagement of Dynamics 365.
In the following, we describe the meaning of users, roles and their various rights.
A "user" is a person who works in a business unit and who is assigned to a single business unit. Each user therefore has a user account, which contains information such as contact details and details of the user's manager.
Each user has special rights and authorizations that control, among other things, which data a user has access to.
The rights of a user include the rights of the user roles and the rights of the roles of all teams to which the user belongs.
Users can be deactivated but not deleted. With the function "WhoAmIRequest" button to search for a user.
Below you will find an overview of the most important user entities and their meaning of a user in Dynamics 365, where Customer Engagement is executed.
"AccessMode"
Specifies the access type or user type.
[table id=10 /]
"CalType"
Specifies the type of user license.
[table id=11 /]
"IsDisabled"
Indicates whether the user is deactivated. Only licensed users or users with the "Support" or "Non-interactive" access mode can be activated. Support users cannot be deactivated.
"IsLicensed"
Indicates whether the user has a license. This applies to customers who access Dynamics 365 for Customer Engagement via the Microsoft Online Services environment. This attribute is read-only and is updated by the system.
"IsSyncWithDirectory"
Indicates whether the user is synchronized with the Office 365 directory. This applies to customers who access Dynamics 365 for Customer Engagement via the Microsoft Online Services environment. This attribute can only be set during creation and is otherwise read-only.
"QueueId"
Specifies the default queue for the user.
In principle, access authorizations can be extended. A user can therefore have rights outside the company unit. This is based on the roles assigned to the user or the team to which the user belongs
A "right" is an authorization to perform an action for a specific entity. This is assigned to an access level that defines the depth within the organization to which the right applies. An error message is displayed if the user does not have the right.
A "role" is a grouping of security rights. Roles are assigned to users. A user must be assigned at least one role. It is not sufficient just to be a member of a team to which a role has been assigned.
Data protection and data confidentiality are guaranteed by Dynamics 365. Authorizations and data access are determined by the definition of roles and security roles.
