Automatic document management

As the traditional method of sending receipts via printing, enveloping, postage and mailing is time-consuming and causes considerable costs, companies with a high volume of receipts in particular are increasingly opting for electronic receipt dispatch. Perhaps you are also considering switching to paperless processes.

Microsoft Dynamics NAV provides the basic prerequisite, as it allows you to specify for each business partner (customer/vendor) whether the documents should be created digitally or as a printout. Based on this setting you have made, receipts are still sent on paper or as electronic receipts.

Numerous providers of electronic document management offer interfaces to Microsoft Dynamics NAV, so that electronic document dispatch can be easily integrated into your business processes and these remain unchanged in your set-up. Thanks to qualified digital signatures, electronic receipts are equivalent to paper receipts with a personal signature and are permitted under European directives.

Microsoft Dynamics NAV is able to process various forms of electronic documents. Here is an overview of the various options:

  • Thanks to the scanning software used, the system recognizes the "OCR (Optical Character Recognition) text recognition" converts incoming documents into PDF format (whether scanned or received electronically) and converts them into a structure that can be easily processed by the ERP system. In addition to customer master data and invoice amounts, Dynamics NAV 2017 also extracts article and G/L account lines, which shortens the manual entry of incoming invoices and thus optimizes your business processes.
  • You scan the receipts and send them by email to an online OCR service (e.g. Lexmark Invoice Capture Service), which reads the data and makes it available in Dynamics NAV.
  • You already have your receipts in PDF format and run the documents through an OCR service or via a provider yourself.
  • You choose a provider who already provides you with the receipt in an electronically processable form (PDF and XML file). OCR is no longer necessary here.
