eDoc App - Functions and features

With the introduction of mandatory e-invoicing, companies are faced with the challenge of digitizing their processes for sending and receiving invoices and making them legally compliant in accordance with local and European guidelines. This is where our eDoc App a module specially developed for Microsoft Business Central or Dynamics NAV, which enables you to seamlessly integrate your electronic documents.

Functions

The eDoc app offers a variety of powerful functions that optimize the entire process of sending and receiving invoices, from automated processing to individual customization options and flexible transmission channels:

  • Service and sales documentsSending and receiving electronic invoices and credit notes, both inbound and outbound.


  • Automated document importDocuments are automatically read in from an import folder. OCR text recognition or scanning processes are not required.


  • Automated incoming invoice processingIncoming invoices are initially pre-entered as intermediate invoices and can be checked and supplemented before posting. An automatic comparison with previous documents such as orders or delivery bills ensures that the information is correct.


  • Flexibility in field assignmentCustomer-specific fields can be mapped without restriction, while the generic mapping enables simple adjustment of the field assignment directly in Business Central.

  • Flexible approval workflowA freely configurable workflow enables invoice approval by all relevant departments. This step ensures transparent checking and final approval of the invoice (included in the Enterprise package).

  • Flexibility in transmissionTransmission channels such as email, endpoint or a combination of both can be used. In addition, the transmission of additional attachments, for example PDF proof of performance, is easily possible in the document transmission profile.


Formats

The BC Add-On eDoc supports a variety of formats that are standardized for electronic invoices in different countries. This ensures flexibility and compatibility with national and international standards:

  • ZUGFeRD (Germany)Combines a PDF document with an integrated invoice file in XML format.

  • XInvoice (Germany)An XML-based data model that has established itself as the standard for electronic invoices in invoice exchange with public clients in Germany.

  • ebInterface (Austria)Enables secure invoice dispatch via a standardized XML format.

  • FatturaPA (Italy)Legal XML format for electronic invoicing via the "SdI" system in Italy.

  • KSeF (Poland)An XML-based format for the legally required real-time transmission of invoices to the Polish Ministry of Finance.

  • Factur-X (France)Represents a hybrid invoice format that contains both a PDF file and embedded XML data.

The eDoc app is also being continuously developed and expanded to include additional European e-invoice formats in order to offer companies a future-proof solution and meet legal requirements in the long term.

Technical details

The eDoc app consists of two main components: the Business Central Appwhich is integrated directly into Microsoft Dynamics, and the RESTful web service of bartolome röder AG, which ensures seamless communication and processing of e-invoices. eDoc is integrated into the document transmission profile, which means that communication can take place entirely in the BC standard. A third-party system is not required for eDoc, which means that no further registrations are necessary.

The module can be provided flexibly - both in the Cloud as well as On-Premisedepending on the requirements and preferences of your company.

If desired, eDoc is compatible with NAV version NAV2015 and all BC versions after a downgrade.

The eDoc app is divided into two basic versions: Local Modules and EU Modules

Product maintenance is included in all packages, an additional enhancement plan is not required.

Local Modules

In this version, our eDoc app only supports the national formats one country of your choice. You can choose between the countries listed above. The local version is available in three levels, depending on your company's requirements:
