Cyclical inventory
As part of the cyclical inventory, you can assign special inventory frequencies to the items. This procedure is used if you count certain items several times a year.
If the storage location does not use controlled putaway and picking, the inventory book sheet is displayed in the "Warehouse" used. The procedure here is similar to stocktaking without cyclical counting.
When using controlled storage and picking, the window "Logistics inventory book sheet" and then the action "Article book. sheet" is used to activate the function "Calculate compensation" to be executed.
The inventory is carried out at regular intervals. You assign a frequency at which you want to carry out the inventory to all stock data and/or items. When using the application "Calculate inventory frequency" The lines for the corresponding items are created automatically in the inventory ledger sheet.
To do this, enter the following in the search function "Physical inventory periods" and fill in the corresponding fields.
Assignment of an article or storage data to an inventory frequency:
- In the search function, enter "Article" and select the item to which an inventory frequency is to be assigned.
- In the field "Inventory frequency code" the corresponding inventory frequency is assigned.
- Then use the "Yes" the code and calculate the first inventory date for the item.
- As part of the next count when selecting the calculation of an inventory frequency in the logistics inventory book sheet, the item appears as a line in the window "Inventory item selection". This allows you to start counting the item at regular intervals.
In the next step, the count is carried out according to the counting intervals set up. Here again, a distinction is made between the basic storage configurations and the extended storage configurations.
Counting in the base camp configurations:
- In the search function, enter "Physical inventory book sheet" and select the action "Calculate inventory date".
- By opening the window "Inventory item selection" the display appears with the articles for which inventory frequencies have been set up, sorted according to their inventory frequencies.
- Implementation in accordance with the procedure for a physical inventory.
Counting in the extended storage configurations:
- In the search function, enter "Physical inventory book sheet" and select the action "Calculate inventory date".
- By opening the window "Inventory item selection" the display appears with the articles for which inventory frequencies have been set up, sorted according to their inventory frequencies.
- Implementation in accordance with the procedure for a physical inventory.
To ensure that the postings after the counts are correct, it is important that the corresponding item has been counted in all storage bins that contain it. When deleting the storage bin lines that the application uses for the count in the "Storage bin stock transfer proposal. Inventory tracking. Stock" has been retrieved, an incomplete result is posted due to the incomplete count.

Correction of the warehouse for an article:
After the inventory of an item, the function "Regulate bearings" the quantity of the current warehouse status is recorded.
- In the search function, enter "Article" and select the item for which the stock level is to be adjusted.
- With the button "Regulate bearings" to confirm this process.
- In the field "New stock", the stock quantity for the corresponding item is entered.
- Confirm this process with "Ok."
Please note that the current, calculated value must be updated after the adjustment.
If the article ledger sheet is used frequently to post the same or similar ledger sheet lines, the standard article ledger sheet can be used. This simplifies these recurring tasks, e.g. for material consumption.
- In the search function, enter "Fibu book sheet" and fill in the corresponding fields.
- With the action "Buchen" the bearing adjustment takes place.
Again, please note that the current calculated value must be updated after the adjustment.
Adjustment of storage bin quantities in the extended storage configurations:
From time to time, items that were previously posted as lost may reappear unexpectedly or items may be damaged and therefore represent losses. If the storage location uses controlled putaway and picking, the logistics item book sheet is used to post all receipts and issues.
This application offers an additional adjustment level that adjusts the recorded quantities accordingly in such cases. This means that you always have a complete list of how many items are available and where they are stored. Please note, however, that not every registered adjustment is immediately posted as an article item. An offsetting item is created in the clearing storage bin, a virtual storage bin without a 'real' item, so to speak, as the positive and negative adjustments to the quantities for the storage bin are made during registration. This storage bin is entered in "Storage bin code adjustment" on the storage location map.
- In the search function, enter "Storage location book sheet" and enter the required information.
- The field "" is filled in.
- Enter the storage bin in which you want to store the additional items or in which you have determined that items are missing.
- In the field "Quantity" enter the quantity that you have found as a difference. If you have found additional items, enter a positive quantity. If items are missing, a negative quantity is entered.
- With the action "Register" to confirm this process.
Finally, we will show you how to align the corrected storage bin items with the item items so that the stock in the storage bins corresponds exactly to the stock in the item items.
Synchronization of the corrected storage bin items with the article items:
The data records in the clearing storage bins are posted to article items according to the specified interval.
- In the search function, enter "Article book sheet" and fill in the fields of each book sheet line.
- In the tab "Actions" in the group "Function" select the application "Calculate compensation" and enter the desired filters in the request window for the batch order. The changes are only calculated for the items in the clearing storage bin that match the filter requirements.
- In the Options info tab, enter the following in the "" enter a number. No number series has been set up for this application. It is therefore advisable to use the numbering scheme used by the warehouse, for example.
- Confirm this process with "Ok". The positive and negative adjustments are totaled for all items. Lines are created in the article book sheet for all articles, the sum of which is a positive or negative quantity.
- To post the quantity variances as article items, it is necessary to post the book sheet lines. The stock level in the storage bins now corresponds exactly to the stock level in the article items.
